A Signage CMS differs from a classic web CMS (WordPress, Drupal) in four dimensions: Multi-player distribution (content is specifically pushed to individual screens, groups, or geo-zones), Scheduling (time of day, day of the week, campaign period, day-part lists), Device management (player status, screen health, remote reboot, OTA updates), and Proof-of-Play (seamless logs of what ran when on which screen — critical for advertising billing and compliance).

When choosing, there are three broad classes:

Cloud CMS (OptiSigns, ScreenCloud, Yodeck) — fast start, low entry costs (€5–15/screen/month), good for 5–200 screens and simple content planning.

Hybrid CMS (easescreen, Samsung VXT) — local player software with cloud sync, higher performance, more complex content (live data, interactivity, video wall sync), good for 50–5,000+ screens.

Enterprise/On-Premise CMS (BrightSign Network Enterprise, Lumiplan, Sedna) — own server, SSO, audit logs, ISO 27001, often with custom integrations (SAP, Salesforce, patient information systems), good for regulated major clients with 500+ screens.

Three questions should be asked at the start, before a CMS is chosen: (1) How many locations are there and how heterogeneous are they? (2) How much content is newly produced per week — and who does it? (3) Which live data (weather, inventory, traffic, patient flow) must be played out automatically?
